Why backup Microsoft 365?

Microsoft provide powerful services within their Microsoft 365 (formely Office 365) offering. However, Microsoft operate the "Shared Responsibility Model" - essentially, they host the infrastructure and ensure that the service is operational for you, however it is your responsibility to maintain a backup of your data. It's a common misconception that data stored in the Cloud is free from the need to backup. Without a backup, your data may not be recoverable after an outage.

Microsoft 365 offers Geo-Redundancy protection to your Office 365 data, which is often mistaken for being a backup. Geo-Redundancy keeps a second copy of your data in another geographic location (i.e. elsewhere in the world). This protects against a loss of infrastructure or the primary datacentre (i.e. fire, flood, etc.), ensuring continual access to the service.

However, Geo-Redundancy creates a clone / replica of this data in a separate location. Changes made to the data are copied to the secondary location. Therefore, if changes / deletions / unwanted modifications are made to the data, such as through an attack / virus, then this modified data is also replicated.

Microsoft 365 Backup from Now Restore is a true backup system, providing the ability to restore to a point in time where this data was free from damage.

Microsoft 365 have a default recycle bin period. These settings retain your data for between 14 to 90 days, depending on what the data is, and where it's been deleted from. After this, the data is gone forever. From our own experience, we often see customers looking to retrieve data from months ago, after an employee leaves the organisation, etc. You never know when you'll need to retrieve that data - for compliance reasons, accidental deletion, or retrieving historical communications by employees who are no longer in the business, etc.
